If you know that you will be unavailable on the day of your exam event, it is important to ensure that an appropriate contact is available to support the delivery of the session and liaise with the examiner and LAMDA, if required. It is also of the utmost importance that we be informed of any such changes as soon as possible, so that ample time is provided to action any required changes.

If your absence is long-term

In the event where a Centre Coordinator (CC) needs to be replaced for a significant amount of time, LAMDA would need to formally change the position of Centre Coordinator on ExamTrack.

This will ensure that:

  • The person replacing you has the appropriate access and visibility for exam administration activities.
  • LAMDA has up-to-date contact details for the correct individual.
  • Any communication regarding the event can be directed to the appropriate person.

If this is the case, please follow the procedure outlined in this article: There has been a change of contacts at my Centre. What do I need to do?

If your absence is short-term

If a CC becomes unavailable shortly before the event, or if your absence is only temporary (for example due to annual leave, illness, or another temporary absence), there is no need to formally change the Centre Coordinator details on ExamTrack.

Instead, please contact us by email as soon as possible and provide the following details for your temporary replacement:

  • Full name
  • Email address
  • Primary telephone number
  • Alternative telephone number (required)

The contact details provided must belong to the person covering the event and should enable us to reach them directly on the day if necessary. Please do not provide shared office or reception numbers unless the nominated contact can be reliably reached through them.

An alternative telephone number is required. We occasionally find that primary contact numbers are unavailable, incorrect, or route to a central office rather than the individual responsible for the event. Providing a secondary number helps ensure that the examiner can quickly reach the nominated contact should an urgent issue arise on the day of the examination.

What We Will Do

Once we receive the details of your nominated contact, we will:

  • Record the information on our system for reference.
  • Make the exam staff aware of the alternative contact arrangements.
  • Include the replacement contact details on the examiner's schedule of work, enabling them to contact the nominated individual directly should any urgent issues arise during the event.

Important

Please ensure that the person you nominate:

  • Is familiar with the arrangements for the examination.
  • Has access to any information they may need to support the event.
  • Will be available and contactable for the duration of the examination.

Providing this information in advance helps ensure that your exam session can proceed smoothly, even if you are unable to be present.
